Terms and Conditions Accommodation Bookings1. Upon the acceptance of a booking, the King's Arms Inn shall require valid credit/debit card details in order to retain the room.2. Acceptance of a booking, whether verbally or in writing, followed by the payment of a deposit and/or the giving of credit card details, creates a legally binding contract between the Inn and the person from whom the booking has been accepted (the Guest).3. The number of people occupying a room must not exceed the maximum number stated.4. In the event of a late cancellation of any booking or non-arrival by the Guest, the Guest shall pay to the Hotel a cancellation fee of 100% of the booking cost. A late cancellation is one which has been communicated to the Inn less than 48 hours prior to the date of the first nights accommodation. (But see para 5 below for Special Events)5. Reservations during Special Events, including the SED Fair, British Bird Fair, Burghley Horse Trials, Christmas and New Year will require a cancellation time of 28 days prior to arrival and a 50% deposit. In the event of a late cancellation, the following charges will apply:7 - 28 days: 50%less than 7 days: 100%7. The Inn reserves the right to cancel a booking forthwith and without liability on its part in the event of damage or destruction to the Inn by fire or other causes, any shortage of labour or food supplies, or any other cause beyond the control of the hotel which shall prevent it from performing its obligations in connection with any booking. In such an event the Inn will refund the deposit made but will have no further liability to the Guest.Payment 8. Unless otherwise agreed, payment of the bill for accommodation and food and other services shall be made prior to departure from the Inn.[Where the Guest gives credit card details to the Inn in order to guarantee a booking or in order to make payment of a deposit then it is agreed between the parties that in the event of cancellation or non-payment, the Inn may debit the Guest's credit card with the full amount owed or the cancellation charge less an allowance for any deposit or payment already received.]Occupancy
9. Occupancy shall be from 2 p.m. on the day of arrival to 11 a.m. on the day of departure, unless special arrangements have been agreed in advance.Prices 10. All prices for accommodation, food and beverages are stated in pounds sterling and include VAT.11. All price increases resulting from Government regulations or legislation or local taxes or charges will be re-charged to the Guest.
Loss of or damage to Guest's Property 12. The Inn does not accept responsibility for loss of or damage to any cash, money, jewellery or other articles of value unless they are deposited at the Reception Office for safe keeping [and a note of deposit is handed to the Guest by the recipient. The note of deposit must be presented by the Guest in the event of a claim].13. In the event of negligence on the part of the Inn which gives rise to loss of or damage to property belonging to a Guest the Inn's limit of liability will be limited to £50 for any single article and subject to a total of £100 in the case of any one Guest. No liability is accepted for any consequential loss arising from loss or damage to property of the Guest.14. The Inn does not accept responsibility for loss of or damage to motor cars or other vehicles of any kind, or any property lost in them; or horses or other live animals including pets.15. The Inn refers to and relies upon The Hotel Proprietors Act 1956.Loss from or damage to Hotel Property 16. Guests shall indemnify the Inn for any loss from or damage to the Inn or the furnishings and equipment therein caused by the wilful act or default of the Guest or persons or animals within their control.17. The Guest shall pay to the Inn on demand the amount required to make good or remedy the damage, or replace any items missing from the Inn.18. If in the opinion of the Inn the Guest or anyone staying with the Guest is not suitable to continue their occupation because of unreasonable behaviour, damage or nuisance to other parties, the Inn is entitled to treat the contract as at an end and the Guest may be asked to vacate their room. The Guest will remain liable for the whole cost of the booking and no refund shall be due.Complaints 19. If the Guest has a complaint concerning any aspect of the services provided by the Inn then it is the duty of the Guest to inform the Inn immediately, or as soon as is reasonably practicable and in any event before the termination of the stay.20. It is specifically agreed between the parties that failure by the Guest to notify the Inn of any complaints in accordance with the timescale set out above will entitle the Inn to refuse to entertain the complaint, irrespective of the merits of the complaints.No Smoking Policy 21. The Inn operates a strict no smoking policy in all rooms, bars and restaurant areas. Smoking is only permitted in outside seating areas. The Inn reserves the right to terminate this contract and ask guests that continue to disregard this policy to leave the premises.22. Without prejudice to the aforementioned, the guest, when entering into this contract, specifically accepts liability for any damage caused to persons or property through smoking in non-smoking areas, or through wilful or negligent action or omission in designated outside smoking areas.Pets23. Animals of any kind are not permitted in rooms, bars or the reataurant.General Points 24. The Guest shall not arrange for the delivery of or deliver any goods or materials to the Inn without prior arrangement with the Hotel.25. The guest shall not store or place on the perimeter of or in the Inn any inflammable, combustible or objectionable substances or liquid.26. The Inn does not allow food or drink other than that purchased on the premises to be consumed unless by prior arrangement.27. Cycles and other large sporting equipment are not permitted in bedrooms. Customers may ask the management for storage space if available but only on the understanding that the Inn accepts no responsibility for any loss or damage to the equipment, which should be adequately insured.Waiver 28. The failure of the Inn to enforce or exercise, at any time, or for any period of time, any term of, or any right pursuant to this Agreement does not constitute and shall not be construed as a waiver of such term or right.Legal Provision 29. The construction, validity and performance of this Agreement is governed by the law of England and the parties submit to the jurisdiction of the English Courts.30. The Guest agrees that the Contract with the Inn is made at the Inn's premises and that any proceedings between the parties shall be conducted in the County Court nearest to the Inn.GROUP BOOKINGS
TERMS AND CONDITIONS For the purposes of these Terms & Conditions, a Group Booking is any booking consisting of 7 or more persons in the restaurant and/or a group of persons (4 or more) occupying.4 or more rooms. Accommodation & Restaurant Services
DEPOSITS.
Where the customer has no credit arrangement with The King's Arms a deposit of 50% of the gross value of the total allocation is required at the time of booking. Full payment of any balance will be required before departure.
Where credit terms have been agreed, the customer will be invoiced for the full outstanding balance after departure. This is to be paid within 28 days of receipt of invoice.
PAYMENT.
Payment should be made by Bank transfer, cash or by credit card.
Where the customer gives credit card details to the Inn in order to guarantee a booking or in order to make payment of a deposit then it is agreed between the parties that in the event of cancellation the Inn may debit the customer's credit card with the full amount of the cancellation charge as set out below less an allowance for any deposit or payment already received.
No other form of payment will be accepted.
CANCELLATIONS.
Cancellation of bookings can be very costly for an Inn. Cancellation made over 30 days prior to arrival will not incur a charge. Cancellations made less than 30 days prior to arrival will incur a cancellation charge on the full gross value of the booking as follows : 7 - 30 days: 50% less than 7 days: 100%
CHRISTMAS / SPECIAL EVENTS.
Cancellation of a group booking of such an event with less than 1 months notice will incur full charge.
SERVICE CHARGES.
Where the agent / operator has no credit arrangement with The King's Arms a Service Charge of 10% will be applied to all restaurant bills. Drinks bought over the bar and paid for at the time would not incur a service charge.
